Department Overview
The Advice and Representation team plays a vital role in championing student voices and ensuring they receive the support they need throughout their university experience. The team provides independent academic and welfare advice, supports democratic processes, and facilitates student representation across the institution. By working closely with elected officers, Student Voice Leaders, and key stakeholders, the team ensures students are empowered to influence policies, shape their education, and access essential guidance when facing challenges. The team also works to create inclusive representation structures that represent the diverse needs of all student communities.
Role
To coordinate key representation and democratic processes, including supporting the Student Voice Leaders programme, facilitating student forums, supporting postgraduate student representation structures, and assisting with elections and officer representation work. The role ensures that student voices are heard and acted upon at all levels of the University and Students’ Union.
Main Responsibilities
· Coordinate the recruitment, induction, training, and ongoing development of Student Voice Leaders (SVLs), ensuring they are equipped to represent their peers effectively.
· Support the facilitation of regular SVL meetings and forums, ensuring they have opportunities to share student concerns and influence decision-making.
· Develop training and resource materials for SVLs, ensuring they have the necessary skills and knowledge to engage with university committees and other representative structures.
· Support SVLs in their attendance at School Education and Student Experience Committees (SESECs), ensuring they are prepared, have access to relevant data, and can feed back key outcomes to students.
· Coordinate termly student forums to ensure that the voices of underrepresented student groups are heard and acted upon.
· Support the Communities Officer in organising and delivering these forums, ensuring meaningful engagement and outcomes.
· Work with University and SU colleagues to ensure recommendations and feedback from these forums are incorporated into wider decision-making structures.
· Develop representation structures for Postgraduate Taught (PGT) and Postgraduate Research (PGR) students, ensuring their voices are embedded into SU and University governance.
· Support the creation of a representation structure for commuter students or other student groups with unique challenges.
· Support the organisation and administration of BSU elections, ensuring transparent and fair processes.
· Promote elections to maximise student participation and candidate engagement.
· Provide logistical and administrative support for referenda, petitions, and other democratic processes as needed.
· Assist in organising and promoting student voice activities, such as Students’ Union roadshows or Student Voice Weeks, ensuring diverse student engagement.
· Provide officers with relevant student feedback, data, and insights to support their representation work.
· Support officers in their representation activities, ensuring they are equipped with the information and resources needed to effectively advocate for students.
· Assist in the coordination and delivery of the Big SU Plan, ensuring officer contributions align with broader SU representation structures and student voice initiatives.
· Facilitate communication between Student Voice Leaders, academic staff, and the Students' Union to ensure that student feedback is effectively addressed.
· Maintain accurate records of representation activities, attendance at meetings, and key student feedback.
· Collaborate with the Data & Insights Analyst to compile and document all student feedback into comprehensive reports for use by student representatives and staff in university committees and meetings.
Communication
· Answering routine enquiries in person and online.
· Designing and delivering routine training to Student Voice Leaders, election candidates and other students.
Decision Making
· Responsible for personal operational decisions on a daily basis.
Budget Management
· This role has responsibility for small project funding for activities.
Staff Management
· This role has no staff management responsibility but may assist the Manager with providing occasional basic supervision of student staff within the department.
General Duties

Location
This is an onsite role, and will primarily be based at the Moulsecoomb Campus, with regular travel to other campus locations as required in the provision of the duties for the role.

Knowledge
An understanding of a Students' Union and its range of services to students
Awareness of current issues affecting higher education and student life.
Familiarity with diverse student needs and interests in a university setting.
Knowledge of relevant legislation, regulations, and policies governing student engagement activities.
Understanding of best practices in student engagement to enhance campus life.
Skills
Excellent communication skills – both written and verbal
Excellent organisational skills, with ability to prioritise a high volume of work and wide range of tasks
Confident user of Microsoft Office applications
Excellent administrative skills including note taking, meeting scheduling and project coordination
